Controlling Open Quickly access
Because the Open Quickly box can provide quick access to items like layouts and scripts within a file, you may need to limit which items users are allowed to access this way (see Using the Open Quickly box). Depending on your custom app, you may not want some layouts to be opened or some scripts to be run from certain contexts.
Account privileges and other options control what can appear in Open Quickly results for each user:
-
For all accounts, the user's FileMaker Pro files can always appear in results.
This includes favorite, recent, and open files, as well as available files hosted by FileMaker Cloud.
-
For accounts with full access privileges, items of all types can always appear in results.
-
For accounts without full access:
-
Layouts can appear in results only when all of these conditions are met:
-
The account has the Allow Open Quickly access to layouts and scripts privilege (see Editing other privileges).
-
The account has View only or Modifiable privileges for layouts (see Editing layouts privileges).
-
The layouts are set to Include in layout menus (see Managing layouts).
-
-
Scripts can appear in results only when all of these conditions are met:
-
The account has the Allow Open Quickly access to layouts and scripts privilege (see Editing other privileges).
-
The account has Executable only or Modifiable privileges for scripts (see Editing scripts privileges).
-
The scripts are set to Include in Scripts Menu (see Working with the Scripts menu).
-
-
Tables, fields, and table occurrences can't appear in results.
To exclude a layout or script from results, you can remove its required privileges from specific privilege sets or exclude it from the menu, which applies to all accounts without full access. To exclude all layouts and scripts from results regardless of their specific privileges or whether they are included in menus, you can remove the Allow Open Quickly access to layouts and scripts privilege from specific privilege sets.

Notes
-
Using a custom menu to remove the Open Quickly item from the File menu can prevent all use of the Open Quickly box in a file (see Defining custom menus). However, another open file that includes the Open Quickly menu item can still access items in the other file unless limited as described above.
